POSITION: DISPATCHER/SECRETARY
RESPONSIBLE TO: TRANSPORTATION SUPERVISOR

JOB GOAL: To assure the smooth operation of the school office so the maximum positive
impact on the education of children can be realized.
QUALIFICATIONS:
? Valid Ohio driver’s license, or ability to obtain license
? High school diploma or general education degree (GED)
? One to two years related experience preferred
? Successful completion of a basic secretarial skills test
? Ability to operate general office equipment, including, but not limited to, phones, faxes,
copiers, and computer equipment
? Ability to effectively and efficiently use all components of the Microsoft Office Suite
? Dependable
? Detail oriented
? Demonstrates strong organizational and problem solving skills with little direction
? Demonstrates effective time management skills
? Demonstrates ability to work effectively with others
? Ability to set priorities and work well under pressure with attention to detail, multi-task
effectively
? Demonstrated proficiency in written and oral communication skills, as well as active
listening skills
? Consistent requirements to lift, carry, push and pull various supplies and/or equipment up
to a maximum of 50 pounds

? Such alternatives to the above qualifications as the Superintendent and/or Board Of
Education may find appropriate
PERFORMANCE RESPONSIBILITIES:
1. Receive all radio calls and assist drivers in route needs.
2. Process discipline reports online through DASL.
3. Contact school aide and/or the police when needed for drivers.
4. Maintain confidentiality of correspondence and communication.
5. Sort and file all pre-trip and fuel log sheets.
6. Receive and route all incoming calls, meet and assist staff/visitors, both in a professional
and friendly manner.
7. Prepare and distribute all department correspondence daily.
8. Maintain confidentiality of correspondence, communications, and student/staff
information.
9. Professionally handle department correspondence and communication for the supervisor.
This includes ability to effectively write letters, build spreadsheets, design a PowerPoint,
and complete other forms of written communication.
10. Demonstrate knowledge of or the ability to learn computer programs to support the
department, including, but not limited to, Outlook, DASL, SINC, School Dude, AESOP,
Veritime, Versatrans, and other department specific programs.
11. Order, process requisitions, receive, store and distribute supplies and equipment daily.
12. Assist with the maintenance of the department budget. Assist with the creation of the
purpose statement. Process the monthly bank statements for the building credit card.
13. File, collate, and copy materials for department purposes and record keeping. Maintain
all office equipment making sure all machines are stocked and in working order. Make
calls for repair as necessary. Assist staff in proper operation when necessary.
14. Maintain an appropriate department filing system.
15. Call department substitutes when necessary for classified employees. Assist in
department substitutes’ assignments based on daily need. Assist in keeping accurate
records of staff absences and report excessive absences to administration.
16. Schedule daily workload in a timely manner and comply with established policies or
procedures with limited assistance from supervisor.
17. Assist administration in emergency situations as needed, includes, but is not limited to
help with injuries/illness of staff and students, which could include calling appropriate
assistance if needed and/or other contacts.
18. Attend all meetings and in-services that affect the building secretary as approved by
supervisor.
19. Ability to multitask in a fast paced environment is mandatory.
20. Serve as a role model for staff.
21. Perform other such duties as may be directed by the supervisor.

EVALUATION: Performance of these responsibilities will be evaluated by the
Transportation Coordinator in accordance with the provisions of the Board’s
policy.
