Job Description
The Administrative Program Coordinator performs a variety of tasks to help keep the missional programs and initiatives of Latino Ministries running effectively; this includes the programs and activities of Latino Ministries, the Creciendo Juntos leadership initiative, and scholarship & continuing education grant applications from Latino constituents. The Administrative Program Coordinator for Latino Ministries must be equally fluent in Spanish and English.
The general administrative functions include, but are not limited to:
- Oversee the administrative activities of designated programs and initiatives.
- Manage the day-to-day tasks that keep the assigned programs and initiatives running smoothly.
- Participate in planning meetings for assigned programs and initiatives.
- Accept responsibilities related to a variety of assigned missional programs, based on capacity and skill set.
- Coordinate with other ABHMS units to ensure missional programs, activities and initiatives are implemented as directed.
The Administrative Program Coordinator will perform a variety of tasks and provide overall assistance to all Latino Ministries missional programs and initiatives. The Administrative Program Coordinator will also be expected to be aligned with the ABHMS strategic mission, vision, and values. This is a fulltime non-exempt position based at the ABHMS Leadership and Mission Building in King of Prussia, PA.
What qualities make for a successful Administrative Program Coordinator?
The successful candidate must possess strong communication skills, written and verbal, in English and Spanish. This person must be someone with great attention to detail, stay organized, prioritize tasks, and follow-through with tasks efficiently, accurately and in a timely manner. Having a positive customer-service (hospitality) attitude, a passion for learning and experience working in a faith-based environment will be essential for success.
Primary Duties and Responsibilities
- Oversee the day-to-day operations for assigned programs/initiatives associated with Latino Ministries.
- Maintain accurate and complete records and files for the assigned programs and initiatives.
- Carry out tasks as assigned regarding the full implementation and assessment of the grant program (scheduling meetings, note taking and distribution, record keeping, budget tracking, voucher processing, event support, data collection, and serving as key liaison with other ABHMS units on particular grant activities.)
- Support Leadership Empowerment staff with scholarships & continuing education grant requests from members of the Latino community.
- In collaboration with other ABHMS key staff, promote Latino Ministries and the Creciendo Juntos initiative on ABHMS social media outlets.
- Provide support and guidance to Latino constituency on how to utilize other ABHMS programs and services.
- Represent assigned programs in interdisciplinary teams or other meetings as requested.
- Other relevant duties as assigned.
Education, Experience, Knowledge and Skills
- Appreciation for the mission, vision, values, and goals of ABHMS. To be successful in this role, the individual must understand the organization’s mission and values and work diligently to make a positive impact on advancing that mission.
- Fluency in reading, writing, and speaking Spanish and English is required.
- Bachelor’s degree in communications, business, project management or other relevant studies.
- Minimum of 2 years administrative experience in a corporate context, a religious nonprofit, or an advocacy organization.
- Detailed-oriented with strong organizational and project management skills.
- Able to work collaboratively in teams as well as being self-motivated to take responsibility for own work with limited direct supervision.
- Resilient, flexible and agile to address changing trends.
- Intellectual curiosity and commitment to lifelong learning.
- Competent working in a large faith-based setting where cultural and gender diversity are greatly valued.
- Proficiency with Microsoft Office suite or Proficiency with Microsoft Office and other relevant technologies (Outlook, Excel, PPT, Word, SharePoint, Teams, Smartsheet, Zoom, Cvent) with the ability to learn new technologies.
- Experience with customer relations management and project management software.
