The Division of Facilities Construction and Management (DFCM) is seeking a warm, detail-oriented, people-person to represent the division as the Receptionist at the front desk of our administrative office. The division is seeking someone who is willing to take on a variety of assignments and tasks, and who has an interest in becoming a stable, reliable, and integral part of the success of the division's mission.

Please note that this position will be working between 30-35 hours per week, depending on division need. Attendance and punctuality are vital in the role. Telework is not an option.

Principle Duties
As the Receptionist for DFCM, you will:
  • Provide professional, friendly service to customers in an office environment.
  • Provide clerical and office support to fellow employees.
  • Greet incoming visitors and direct them to the proper individual.
  • Answer a multiple line telephone to provide information or transfer caller to correct individual.
  • Sort and process daily mail.
  • Maintain schedules for multiple conference rooms.
  • Accept time sensitive documents; time stamp documents to ensure deadline has been met.
  • Draft, review, edit, and complete a variety of documents.
  • Create and distribute division newsletter.
  • Order and maintain office supply inventory.
  • Enter and process roofing repair work orders.
  • Review and submit invoices for payment.
  • Surplus equipment and furnishings as needed.
  • File and archive documents, electronically and in hard copy.
  • Retrieve documents as requested.
  • Administrative duties for the Construction side

Minimum Qualifications
The best qualified candidate for this role will:
  • Be organized.
  • Be focused.
  • Be able to quickly learn new concepts, programs, and processes, and relay that information to interested parties in a clear, detailed, and easily understood manner.
  • Be on time with high attendance records to maintain consistency at the front desk.
  • Have a working level of proficiency with Microsoft Office products, Adobe Acrobat, and internet usage.
  • Have experience providing customer service and clerical support in an office environment.

The Division
The Division of Facilities Construction and Management ( DFCM ) is dedicated to providing professional services to assist State entities in meeting their facility needs for the benefit of the public, and is the building manager for all State owned facilities. Working Conditions:
  • Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
Physical Requirements:
  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
