Receptionist I - Front Desk Operations : This position's primary responsibility is to be the Front Desk Receptionist in the Portland, Maine branch office. Duties of a Receptionist I - Front Desk Operations include, but are not limited to : Efficiently and pleasantly answer and direct all inbound telephone calls for the Portland branch as 1st in the designated telephone hunt group and 2nd in the regional telephone hunt group for other offices as assigned. Greeting visiting Cross Insurance clients/carrier partners/vendors and ensuring all office visitors receive timely customer service with the appropriate branch staff. Ensuring all office communal areas remain tidy and fully stocked, and conference rooms are properly scheduled and prepared for all meetings. Responsible for branch mail, including opening, organizing and distributing inbound mail, logging into agency management system and/or scanning to appropriate department staff member(s); and collecting and stamping outgoing mail and coordinating pickup and drop off for the same. Logging into various carrier websites to download and process Commercial Lines department policy and billing documentation. Managing Portland Reception email inbox and routing emails to the correct recipient(s). Processing Direct Notices of Cancellation and Reinstatements for Portland Commercial Lines department. Completing daily checklist for office duties/maintenance. Provide primary back-up for Receptionist II as needed. Special projects as assignment by Manager. Requirements: Seeking an individual who is looking for a career....not just a job Strong ability to multi-task and maintain a positive demeanor. Ability to work well independently as well as within a Team Acumen to problem-solve. Strong organizational skills. Excellent verbal and written communication skills. Experience with Microsoft Office (Word, Outlook, PowerPoint, Excel, Teams). Insurance experience is helpful.
