Join Our Team as an Administrative and Document Associate

SMB Advisors Corp is seeking an Administrative and Document Associate to support our tax and financial advisory operations. This role combines administrative support, document management, and client interaction to help ensure our office runs smoothly and our clients receive the highest level of service. Key Responsibilities:
Administrative & Scheduling: Manage calendars, schedule appointments, handle incoming/outgoing calls, and prepare meeting minutes.
Document Management: Collect, scan, and upload client documents, download and organize bank statements, and assist in maintaining secure electronic files.
Client Support: Provide professional communication through phone, email, and in-person interactions, ensuring clients feel supported and valued.
Office Operations: Sort and distribute mail, assist with reimbursements, manage correspondence, and support events and meetings. Assist with events and documentation tasks.
Technology & Software Use: Upload client data into OCR-type software (training provided), work with Microsoft Office 365 Suite, Google Docs/Sheets, and assist in resolving minor computer/technical issues.
General Office Care: Maintain neatness of common areas, conference rooms, and office kitchen; help with light housekeeping and basic cleanup as needed.
Required Skills & Qualifications:
Technical Skills:
Intermediate knowledge of Microsoft Excel, Word, Outlook and Office 365 Suite.
Intermediate knowledge of Google Sheets and Docs.
Familiarity with bank statement downloads and basic document workflows.
Technical aptitude to troubleshoot minor computer issues.
Industry Knowledge: Some exposure to annual tax forms and financial documents preferred.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills. Must be able to take meeting minutes.
Ability to work both independently and collaboratively in a team environment.
Ability to multitask and prioritize tasks required.
